During your job search, you may find yourself in a situation where you need to withdraw your application. This can happen for many reasons, including: 

  • You accept another job
  • You need to relocate (for instance, because your spouse is being transferred out of town)

Whatever the reason, the most professional thing to do in this event is to notify the employer with a letter of withdrawal promptly.

Why Withdraw Your Application 

People sometimes worry that withdrawing their application will burn a bridge with the company. In fact, if you are certain the job is not right for you, withdrawing your application is a favor to the company. It saves them time and effort and allows the company to focus on candidates who are still interested in the position. Employers would prefer to avoid making job offers that are rejected. The key to avoiding any soured relationship is to be polite and prompt with your withdrawal letter. 

What to Include in a Withdrawal Letter

In your letter, you don’t need to provide a reason for withdrawing your application. You are simply letting them know that you no longer wish to be considered for the position. If you decide to include a reason, keep it positive. If the job just isn’t a good fit, you can say so without implying anything negative about the company or their staff.

You should send the letter as soon as you know that you are no longer interested in pursuing the job, to allow the hiring manager to focus on viable candidates.

How to Format the Letter or Email Message

If you send your letter via postal service, you should format it as you would any professional business correspondence. Begin with your contact information, followed by the date and the employer contact information. Your letter should begin with a polite salutation, and then express the reason you are writing.

Thank them for the time they have spent considering you for the position, and then use a professional closing.

When you send your letter of withdrawal via email, you don’t need to include the employer’s contact information. The subject line should include your name and “Withdraw Application.” Begin the letter with your salutation followed by a paragraph (or two) stating your intention to withdraw your application from consideration, and thanking them for their time.

Chances are if you’re working on anything of significance for your company, you’ll find yourself asking for approval on a variety of occasions. The people to which you submit your request may vary depending on the subject matter. Every request, whether it be project proposal approval, extending deadlines, or deliverable approval, for example, should be treated uniquely and given the proper care when drafting a request.

Best Practices for Approval Request Message Format

Whether it be time constraints, geographic restraints, or just the nature of your business, many instances arise where face-to-face requests cannot be made. Even when they can be made, they are often followed up by documentation. If your only chance for approval comes via an email, be sure to make it as persuasive as you can without going overboard.

It is your job to convince your boss or other powers that be why your request deserves to be approved. For managers, some requests are easier to approve than others. Milestone completion and approval may be easy. Deadline extension requests may not. Your ability to clearly state a well-founded justification for your request makes all the difference.

When crafting a request for approval, take the following best practices into consideration:

    1. Be clear and concise. Flowery words and overstating the purpose is not productive.

Situation #2: Freelancers need to be hired due to increased workload. Project manager asks his supervisor for approval.

For this situation, internal approval from a manager is needed to release funds for hiring outside help. The focus of the email should be on justifying the need for a freelancer. The need for additional help may have not been initially planned, so your argument should be convincing. The style of this email may not need to be formal. But, make sure you’re reading your audience appropriately. Be sure to include the current workload of your team members, while identifying gaps in production that need to be remedied, as part of your justification.

Situation #3: Project takes longer than expected and the budget needs to be adjusted.

Either internal or external stakeholders may be addressed with this request for approval. Language directed at external stakeholders may need to be more formal, depending on the client. Internally, the formality of the language depends greatly on your current operating environment.

When requesting an adjustment in the budget, your language should be specific. Detail the exact circumstances that have resulted in the project delay. Describe why the circumstances were unavoidable in order to reassure the approver that the same circumstances won’t repeat themselves after the budget adjustment is approved.

Project timeline and budget adjustments are not uncommon at all. But the better you justify the reason for the adjustment, the more accepting the approver will be of the request. The language of the request should reassure the approver and avoid diminishing the positive energy around the project.

Situation #4: Deadline will be missed and needs to be adjusted.

This situation is a little less sticky than a budget adjustment. However, clear and convincing justification should be given to reassure your approver, whether internal or external. Your missed deadline may affect subsequent deadlines, so authenticity is key here.

Explain the circumstances surrounding the delay, and what an extension would do for the project in terms of quality. Reiterate your commitment to sticking to the project timeline, and communicate your understanding of the importance of doing so.

Situation #5: Requesting feedback and approval for particular project deliverable (for example, video, graphic or PDF)

Feedback and approval for a particular project deliverable is a much more routine process than requesting adjustments of time or budget. Because of that, your language can be more standardized. And, you can present the information in a more structured way that reflects the project management approach you’re using.

Within this approval request, include data such as project name, phase completed, next phase, deliverable, tracking ID (if using one), deliverable due date, acceptance criteria, etc. You can even present this in table format or another format that flows best with your firm’s operational tempo.

Situation #6: New inquiries result in changing the project scope. Project scope has to be adjusted.

Approval for changing project scope should be straightforward if the inquiries are initiated by the client. Unlike a change in timeline or budget that originates from internal circumstances, external forces outside the scope of the project team have necessitated changes be made.

When this is the case, a simple and clear explanation of the inquiries and how they change the project scope is all that is needed. If it causes subsequent changes in budget and timeline, then more exploration of the situation should be offered. Otherwise, the purpose of this approval is to make sure all stakeholders are kept abreast of the changing scope of the project, and everyone supports the change.

This is perhaps the most comprehensive form of approval request compared to past examples. While you won’t need to relive the entire project in the course of your email body, you’ll need to provide enough information to give your reader a clear idea of the project’s journey from start to finish.

Under the Freedom of Information Act (5 U.S.C. Section 552), I am requesting the following documents:

[ICIJ recommendations] Reasonably describe the records and/or information you need. It helps to include names of people and places and the time period relevant to the material. If you know the name or title of the document you seek, include that. Attach any other documents describing your research and specify the form in which you would like to receive the information, such as paper or computer disk.

As a representative of the news media affiliated with (name of your organization), I am gathering information on (subject) that is of current interest to the public because (briefly state reasons).

[For requesters who are not members of a traditional news organization like a newspaper or television station, consider the following language]: Please take note of the Office of Management and Budget guidelines published March 27, 1987 (52 FR 10012) that include electronic publications and other nontraditional publishers as representatives of the news media. [Freelancers should provide a copy of the publication contract, if you have one, but also note that OMB guidelines say that past publication can be used as proof you are a media representative]. [Public interest groups should consider the following language]: Please also remember that the U.S. Court of Appeals for the District of Columbia has determined that even a nonprofit clearinghouse of information can qualify as a representative of the news media, See National Security Archive v. Please note that 5 U.S.C. Section 552(a)(4)(A)(iv)(II) requires that you provide the first 100 copies to me at no charge.

However, I am requesting a waiver of all fees under 5 U.S.C. Section 552(a)(4)(A)(iii). The information I seek is in the public interest because it will contribute significantly to public understanding of the operations or activities of the government and is not primarily in my commercial interest.

I believe I meet the criteria for a fee waiver recognized by the U.S. Justice Department - in its policy guidance of April 1987 - and by the federal courts, See Project on Military Procurement v. Department of the Navy, 710 F. Supp. 362 363, 365 (D.C.D. 1989).

My request concerns the operations or activities of government because É [Per the Justice Department guidelines, be as specific as possible about why your request concerns a government activity as opposed to a mere interest on your part in the subject matter.]

Also, the information sought has informative value, or potential for contribution to public understanding. Please note the decision in Elizabeth Eudey v. Central Intelligence Agency, 478 F. Supp. 1175 1176 (D.C.D. 1979) (even a single document has the potential for contributing to public understanding). I plan to disseminate this information to the public at large in the following manner: [Detail how you plan to get this information to a broad audience. Public interest requesters should be aware that vague assertions about providing the information to a media outlet probably would not pass muster with the agency or the courts. It will help your cause immensely to provide evidence of past instances where the media has used some of your information]. In your deliberations, please take note of the following cases: Campbell v. U.S. Department of Justice, 334 U.S. App. D.C. (1998)(administrative and seemingly repetitious information is not exempt from fee-waiver consideration); Project on Military Procurement (agencies cannot reject a fee waiver based on the assumption that the information sought is covered by a FOIA exemption; and Landmark Legal Foundation v. Internal Revenue Service, 1998 U.S. Dist. LEXIS 21722 (D.C.D. 1998)(the fact that the information will soon be turned over to a public body does not exempt the material from fee-waiver consideration).
