Wait—before you sit down at your computer to begin writing an email, I have a list of 20 business English “thank you” phrases that’ll be useful to you.
We’ll first look at some steps for structuring your thank-you message. The process is very simple and you can be sure that your recipient will appreciate it!
These days, thank-you notes are often sent in the form of an email. In fact, the business management expert at Ask a Manager advises sending email thank-you notes instead of handwritten ones after job interviews and other business-related correspondences.
Some things to keep in mind about thank-you messages: they don’t have to be long and complicated. Keep them short but spend some time creating a message that sounds genuine and sincere. Plan to send your thank-you email within 24 to 48 hours of a meeting or event.
We’ll give you all the vocabulary you need to say “thank you” in different situations later in this post. But first, it’s important to understand the structure and tone of a business english thank-you email.

We frequently rely on our business associates to help and support us in various business activities.
You could begin with a phrase like this to briefly include your reason for thanking them:
Thank you for your help in [business activity].
For example: Thank you for your help in securing an alternative supplier when our shipping consignment was delayed recently.
Here’s another good phrase you could use to include some details:
We’re grateful for your support in [business activity].

In business, we often depend heavily on our vendors and suppliers for timely shipments, deliveries and service. A vendor that delivers good service deserves praise and acknowledgement. So don’t forget to send them a note of thanks now and then.

While everyone hopes for positive feedback, we should also value negative feedback as a way of addressing customers’ concerns and improving our business in the long run. So be sure to accept negative feedback graciously and follow up with a note of thanks.
You could start with this phrase followed by a brief explanation of how you plan to address the issue that’s been highlighted:
Thank you for raising your concerns with us.
This phrase is a great one for ending your message:
Thank you for your understanding.
If you wish to stand out and leave a good impression with your prospective employer, be sure to send your interviewer a thank-you email shortly afterwards.
If you were interviewed by a group, the International Hellenic University suggests you consider sending a group thank-you note.
You could start with this phrase:

Some business situations, however, require a more formal sign of gratitude – a thank you letter. Letters are a great way to say thanks for more significant occasions. Like extending your appreciation to businesses who sponsored and attended a conference you organized, a major client whose large project your team just completed, or an organization who nominated you for an award.
Generally, thank you letters are written in a professional tone, are closer to a page, maximum, in length, and demonstrate that you’ve put effort into saying thank you. They can still be sent as an email, but format and personalize it accordingly so it comes across as a sincere thank you letter, and not a painfully long email.

Is there an email more dull or lacking of personality than one that says, “Thank you for your business”?
Thanking your customers is great, but thanking them for their “business” feels a bit cold and heartless; like you only sent the message because you exchanged money, not because you’re grateful. As short or as long as you make it, a personalized thank you note will always have a stronger impact than a cookie-cutter, generic email.
Your customers and employees want to read something that feels like you took the time to think of them and what they’ve done for you – it should exhibit your genuine appreciation for the relationship you continue to build. This isn’t to say you can’t automate a message thanking new customers for their business; you just need to make sure the automated emails you send FEEL real.

One of the hardest things about writing any letter is how to start. If you find yourself stuck, staring at the screen and wondering how to begin, the following openings might be a good jumping-off point.
Here are a few suggestions for your closing. The only trick with these is to decide which one is appropriate, depending on the tone and content of your Thank You note. For example, ending your letter with “Your friend,” isn’t quite right if the letter is addressed to a customer.
*TIP: The second word of a complimentary close is not capitalized, e.g., “Best regards”.
It’s a good idea to get at least a name and email address from new customers, if possible. If you don’t have contact information for customers, colleagues, or friends, then you might consider starting a running list from now on.
For people with whom you’ve already connected, you could just ask them for the email or direct mail address and let them know you’re sending a letter.
